Position : Finance Administration Manager
Closing Date: 15 November 2024 at 5:00pm
Working Hours: 35 hours per week (5 days) between 9.00am to 1.00pm and 2.00pm to 5.00pm.
Salary : $40/hour
Duties
- Provide administrative support to the day-to-day running of the High Commission
- Provide administrative support in managing accounts and finances of the High Commission
- Prepare salaries, allowances and other entitlements for the Diplomatic Staff and Locally Engaged Staff
- Maintain financial records, including commitment ledger
- Work with the Head of Chancery in preparing administrative and financial reports, including Monthly Financial Returns to the Department of Foreign Affairs
- Preparation of account payments and other administrative expenses
- Work with the Head of Chancery in the preparation of Annual Budget Estimates for the High Commission
- Monitor the Mission’s budget and expenditures and contribute to budget planning and revision
- Manage the State properties and assets, including the renovation and maintenance of the Chancery and residences of the Diplomatic Staff
- Maintain assets register and inventories of State-owned properties and assets
- Seek tax and other reimbursements from the New Zealand Government Authorities
- Ensure the financial transactions are authorized, recorded, filed with adequate supporting documentation, and maintained
- Assist in recording and banking Migration Service Fees
- Assist in driving as and when required
- Execute any other duties as directed by the High Commissioner and Head of Chancery.
Minimum Academic Qualifications:
- A Diploma or Certificate in Accounting, Finance, Business Administration from a recognized educational institution.
- Other appropriate qualifications acceptable to the PNG Department of Foreign Affairs.
Minimum years of relevant Work experience and other skills:
- Two (2) years of relevant work experience in a recognized organization and performed functions such as the following:
- Basic financial accounting, monitoring and reporting, budget planning, processing of transactions, use of financial management systems
- Basic procurement of goods and services, human resource support
- Building and asset management; document and information management; operating IT systems (Office, Word, Excel, PowerPoint, Outlook, etc.) and provision of basic support.
Required skills
- Successful applicant will be required to understand PNG’s Foreign Service Manual of Operations and Handbook, and/ or other applicable laws both within PNG and New Zealand, and ability to effectively use and apply the relevant operational rules and procedures.
